Terms of service
The agreement for using Allsquare.
Last updated 7 November 2026
The short version
- Allsquare helps you collect and check your subcontractors' insurance certificates. It's a tool: you still decide who goes on site.
- Allsquare checks what a certificate says. It can't confirm a policy is still in force, and it doesn't give insurance advice.
- The Starter plan is free. Paid plans are month to month, and you can cancel at any time.
- Your data is yours. You can export it whenever you like, and we only use it to run Allsquare for you.
This summary helps you find your way; the full text below is what applies.
1. This agreement
These terms are an agreement between Allsquare, Perth, Western Australia (“Allsquare”, “we”, “us”) and the business that creates an Allsquare account (“you”). They cover the Allsquare app and website at useallsquare.com. Our Privacy policy explains how we handle personal information and forms part of these terms.
You accept these terms when you create an account or use Allsquare. If you’re accepting for a business, you confirm you’re allowed to do so on its behalf. Allsquare is made for businesses, and you must be 18 or older to use it.
2. Accounts and your team
- Give accurate details when you sign up, and keep them up to date.
- Keep passwords private. Each person on your team should have their own login.
- Your admins decide who joins your account and what they can do. You’re responsible for what your team does in Allsquare.
- Tell us straight away at hello@useallsquare.com if you think someone has got into your account without permission.
3. What Allsquare does, and doesn't do
Allsquare stores your subcontractors’ details and insurance certificates, reads the details from certificates, checks them against the requirements you set, shows you the gaps, and sends the reminders you ask it to.
Please read this part carefully.
- Reading can be wrong. Certificates vary, and automatic reading (including AI reading) can misread or miss details. Allsquare asks your team to check what it read before it’s saved. You’re responsible for that check.
- A certificate isn’t the policy. Allsquare checks what a certificate says. It can’t confirm a policy is still in force after the certificate was issued, that premiums are paid, or what the policy wording covers or excludes.
- “Compliant” means compliant with your settings. It means the certificate on file meets the requirements you entered in Allsquare, nothing more. Make sure your requirements match your contracts.
- No advice. Allsquare isn’t an insurer or insurance broker and doesn’t give insurance, legal, or work health and safety advice.
- You decide. Decisions about which subcontractors can work, and meeting your contract, insurance and legal obligations, remain yours.
4. Plans, trials and payment
- Starter is free, with the limits shown on our pricing (for example, up to 25 subcontractors). We’ll give at least 30 days’ notice before reducing what the free plan includes.
- Paid plans are charged monthly in advance, at the price shown for your country or region when you subscribe. Australian prices include GST. Elsewhere, taxes may be added. Payments are processed by Stripe, and your plan renews automatically each month until you cancel.
- Free trial: the first time a company moves to a paid plan, it gets a 30-day free trial with no card needed. If no card has been added by the end of the trial, the account goes back to Starter. Nothing is charged.
- Founding offer: while it lasts, the first 50 companies to take a paid plan get 30% off for their first 12 months, and free setup (we import your subcontractor list and certificates for you). We may end the offer for new customers at any time. Companies that already have it keep it for their 12 months.
- Price changes: we’ll email you at least 30 days before a price change affects you. It applies from your next billing period after that, and you can cancel before then if you don’t want to continue.
- Failed payments: if a payment fails, we’ll let you know. If it isn’t sorted out, your account may move back to Starter. Your data stays.
- Refunds: payments aren’t refunded for part months, except where these terms say otherwise or the law requires it.
5. Cancelling and closing your account
- You can cancel a paid plan at any time from your billing settings. You keep the paid plan until the end of the month you’ve paid for, then move to Starter. Your data stays.
- To close your account and have your data deleted, email hello@useallsquare.com. Export anything you want to keep first. We delete your records within 30 days, as the Privacy policy explains.
6. Your data
- It’s yours. Everything you and your team put into Allsquare, and everything your subcontractors upload to you, belongs to you (or to whoever owns it), not to us.
- Our permission to use it is limited to what’s needed to run Allsquare for you: storing, reading, checking, displaying and backing it up, sending the emails you ask for, keeping the service secure, and supporting you. We may also count usage in a way that doesn’t identify you or your subcontractors (for example, the total number of certificates read). We don’t sell your data or use it to train AI models.
- Your responsibilities: you need the right to put each subcontractor’s details into Allsquare and to contact them about their insurance, including under privacy and spam laws. Don’t upload sensitive information (such as health information) that Allsquare doesn’t need.
- Export: you can export your subcontractor list and compliance reports at any time.
7. Subcontractor upload links and reminders
- Each subcontractor can have a private upload link. Anyone with the link can send you a file through it, but never see anything in your account. Share it only with that subcontractor, and replace it in Allsquare if it gets out.
- Anything sent through a link waits for your team to check it before it counts.
- Reminder emails go out in your company’s name. You’re responsible for who your team sends them to and for anything your team adds to them.
8. Using Allsquare properly
You agree not to:
- break the law with Allsquare, or use it to send spam or misleading messages;
- upload anything harmful (such as viruses), or anything you don’t have the right to share;
- try to get into other companies’ data or other parts of our systems, or get around plan limits;
- overload Allsquare, scrape it, or copy or reverse-engineer it to build a competing product;
- resell Allsquare or give access to people outside your business, without our written agreement.
If you find a security problem, please tell us at hello@useallsquare.com instead of testing it further. See our Security and privacy page.
9. Availability and changes to Allsquare
- We work to keep Allsquare available and reliable, but we can’t promise it will never be interrupted, for example during maintenance or when a provider we rely on has an outage.
- We keep improving Allsquare and may change features. If we make a change that significantly reduces what your paid plan includes, we’ll tell you first, and you can cancel and get a refund for any time you’ve paid for but not used.
- If we ever decide to shut Allsquare down, we’ll give you at least 60 days’ notice so you can export your data, and refund any time you’ve paid for but not used.
10. Our software and brand
Allsquare’s software, design and brand belong to us. These terms let you use Allsquare for your business while your account is open; they don’t transfer any ownership. If you send us suggestions, we can use them freely to improve Allsquare.
11. Australian Consumer Law
Our services come with guarantees that can’t be excluded under the Australian Consumer Law. Nothing in these terms excludes, restricts or changes any right or remedy you have under that law, or any other law that can’t be excluded.
Where the law allows us to, our liability for failing to meet a consumer guarantee is limited to supplying the services again, or paying the cost of having them supplied again, at our choice.
12. Limits on liability
To the extent the law allows:
- We aren’t liable for losses that come from a subcontractor being uninsured or underinsured, from an insurer’s decision, or from relying on a certificate’s details or status without the checks described in section 3.
- Neither of us is liable to the other for indirect or consequential loss, or for loss of profit, revenue or business opportunity.
- Our total liability for all claims in any 12-month period is limited to the amount you paid us in the 12 months before the claim arose, or A$100 if that is more.
- These limits don’t apply to liability that can’t be limited by law, or to loss caused by fraud or deliberate wrongdoing.
13. Suspension and ending this agreement
- You can stop using Allsquare at any time, and close your account as described in section 5.
- We may suspend or close an account if it seriously or repeatedly breaks these terms, if payments remain unpaid after we’ve told you, or if it puts Allsquare or other customers at risk. Unless it’s urgent, we’ll tell you why first and give you a fair chance to fix it.
- If we close your account and you haven’t done anything wrong, we’ll give you at least 30 days to export your data and refund any time you’ve paid for but not used.
14. Changes to these terms
We may update these terms as Allsquare changes. For changes that matter to you, we’ll email your account admins at least 30 days before they take effect. If you don’t agree, you can cancel before then, and we’ll refund any time you’ve paid for but not used. Small corrections (such as fixing a typo or updating our contact details) can take effect when we publish them.
15. Disputes and general terms
- If something goes wrong, please email hello@useallsquare.com first. We’ll try to sort it out quickly and fairly.
- These terms are governed by the law of Western Australia, and the courts of Western Australia (and courts that can hear appeals from them) can hear disputes about them.
- If any part of these terms can’t be enforced, the rest still applies. If we don’t enforce a term straight away, we can still enforce it later.
- We can transfer this agreement to someone who takes over Allsquare, if they agree to be bound by it. We’ll tell you first.
- We send notices to your account admins’ email addresses. You can send notices to hello@useallsquare.com.
